Information and access to personal data pursuant to art. 13 of EU Regulation 2016/679 (General data protection regulation)

This privacy notice is provided to you, pursuant to art. 13 of EU Regulation 2016/679 - General Data Protection Regulation, and in relation to personal data which the Cineca Consorzio Interuniversitario (hereinafter Cineca) acquires as a result of the completion of the registration form at the platform https://hpc-europa.cineca.it, through which you have access as user to the services provided by the HPC-Europa3 project (Contract n. 730897 supported under the H2020 programme of the European Commission) of which Cineca is co-ordinator.

We therefore provide you with the following information:

    1. IDENTITY AND CONTACT DETAILS OF THE DATA CONTROLLER

The "Data Controller" is the Cineca Consorzio Interuniversitario, based in Casalecchio di Reno (BO), via Magnanelli 6/3 – postal code 40033, in the person of Dr. David Vannozzi, General Manager with responsibility for the protection of personal data.     2. CONTACT DETAILS OF DATA PROTECTION OFFICER

In Cineca there is a Data Protection Officer, appointed pursuant to art. 37 of EU Regulation 2016/679. The Data Protection Officer can be contacted at the following email address: privacy@cineca.it.

    3. THE PURPOSE OF PROCESSING AND THE LEGAL BASIS FOR PROCESSING

The purpose of processing your personal data is to carry out all the activities necessary to allow you to register on the platform https://hpc-europa.cineca.it thanks to which you can:

If you register as a researcher:

  • compile and submit the application form for the request of a visiting period
  • access the results of the evaluation process
  • submit the contractual obligations at the end of your visit (i.e. abstract, long paper, images)

If you register as a host:

  • submit the “host support form” for the applications that propose you as host
  • make available your name, institution, department and scientific discipline to potential applicants in the application form and at the public website https://hpc-europa.cineca.it/hostlist

If you register as a SUSP:

  • submit the “Scientific Users Selection Panel form" for the assigned applications
  • make available your name, institution, department and scientific discipline to potential applicants at the public website http://www.hpc-europa.eu/susp-panel

The legal basis for the processing of the personal data you provide to Cineca is the satisfaction of the request to access HPC-Europa3 funding for transnational access.

    4. RECIPIENTS AND CATEGORIES OF RECIPIENTS OF PERSONAL DATA

The recipients of the data you provide are:

  • the data Controller (CINECA Consorzio Interuniversitario)
  • the HPC-Europa3 staff working at the project partners institutions

Your personal data will not undergo any further dissemination without your permissions.

    5. DATA STORAGE PERIOD

The determination of the storage period of your personal data is in accordance with the principle of processing requirements and of the EU funding mechanisms. Your personal data will therefore be stored up to five years after the end of the funded project (30/04/2027); after which, your personal data will be erased.

    6. RIGHTS OF THE DATA SUBJECT

Please note that with reference to your provided personal data, you have the following rights:

  1. to access your personal data
  2. to obtain the rectification or erasure of same or the limitation of the processing operations concerning you
  3. to object to processing
  4. to the portability of data (law applicable only to data in electronic form), as governed by art. 20 of EU Regulation 2016/679
  5. to lodge a complaint with the supervisory authority

Cineca is required to provide a reply within one month of the request, extendable up to three months in case of particular complexity of the request. Please note that you can independently correct personal data entered incorrectly at any time, by logging on to your personal page of the platform https://hpc-europa.cineca.it or by sending a request to HPC-Europa3 staff (staff@hpc-europa.org)

    7. MANDATORY OR OPTIONAL NATURE OF PROVIDING THE DATA AND THE CONSEQUENCES OF FAILURE TO PROVIDE THE DATA

Providing data is mandatory in order to access the transnational access programme organised by the HPC-Europa3 project.

Failure to provide the data will prevent you from obtaining the service access credentials.

The data processing is intended only to define and carry out the activities assigned to Cineca and the whole HPC-EUROPA3 consortium, in the frame of the contract HPC-Europa3 in the version in effect at the time of data submission.

According to the mentioned law, the processing of personal data shall follow the principles of correctness, legality and transparency and protection of your privacy rights.
